Overview
Steady Minds Learning ("we", "our", or "us") is committed to protecting your privacy and handling personal information responsibly. We handle personal information in accordance with the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth), whether or not the Act applies to us.
This Privacy Policy explains how we collect, use, store, and disclose personal information in a lawful, transparent, and responsible manner in connection with our services: Parent Consultations, the Report Summary (including the school documents summary), One Tool and the Homework Starter Kit, together with our main website, our free Steady Homework app and our resources website.
1. What Information We Collect
We collect personal information necessary to deliver our homework and study support services. This may include:
Parents and families
- Parent/guardian name and contact details (email, phone number, address)
- Information about your child relevant to the service you've requested (e.g. year level, subject, the homework or study challenge you want help with)
- Payment and booking information
- Documents you choose to share (optional) — you may redact your child's name before sharing. For Parent Consultations and the Homework Starter Kit, you can skip documents entirely and complete a short form about your child's needs instead. The Report Summary needs assessment reports, and the school documents summary needs school documents
General information
- Enquiries and communication records
- Website enquiries: your name, email address, who the enquiry is about, and anything you choose to add in the optional questions
We do not collect information directly from schools, teachers, psychologists, or other third-party professionals. Any information about your child's learning needs is provided to us by you.
Where you share a diagnostic, psychological, or allied health report with us, we use it solely to design practical learning resources. This does not involve forming a clinical opinion, re-interpreting the report's findings, or substituting for advice from the professional who prepared it.
2. How We Collect Information
We collect information in a lawful and fair manner:
- directly from you (forms, bookings, emails, calls)
- from a parent or guardian, where the service concerns a minor
3. How We Use Information
We use personal information only for the primary purpose for which it was collected, or for related purposes that would reasonably be expected, including to:
- deliver personalised learning resources, Parent Consultations, and related resources
- tailor resources and advice to your family's needs
- communicate regarding services and bookings
- manage administration, billing, and records
- improve service quality
- comply with legal obligations
4. Disclosure of Information
We may disclose personal information where necessary to:
- trusted third-party service providers (e.g. secure platforms, payment systems) who support delivery of our services
- government or legal authorities where required by law
If you pay by card through a Stripe payment link, Stripe processes your payment details. We do not see or store your card details. If you pay by bank transfer, we see the details your bank provides, such as the payer's name and reference.
Apart from the service providers described in this policy, which store or process information for us, your child's documents and information are not disclosed to anyone, including your child's school, without your express instruction, unless required by law.
We do not sell or rent personal information to third parties.
5. Children's Privacy
Steady Minds Learning does not provide tutoring, direct instruction or one-to-one work with students. A student may attend a Parent Consultation, in person or online, with their parent or guardian present throughout. All bookings, arrangements and communication are with the parent or guardian.
Because we handle information about children in order to design their resources, we take additional care:
- personal information is collected with parent/guardian consent
- information is used solely to support the design of appropriate learning resources for the child
- sensitive information, including any diagnostic, psychological, or allied health information you share with us, is handled with heightened confidentiality
6. Data Retention and Deletion Clause
6.1 Retention Period
Steady Minds Learning retains Client Data, including uploaded documents, consultation notes, and completed resources, while we are working together and for up to seven (7) years after the last service provided to the relevant client, unless a shorter period is appropriate or the client asks us to delete it.
If you enquire but don't go on to book or order, we keep your enquiry for up to 12 months from our last contact, then delete it.
6.2 Destruction on Expiry
Upon expiry of the applicable retention period, Steady Minds Learning will take reasonable steps to destroy or permanently de-identify all Client Data, consistent with the security standards applied during the retention period and with APP 11.2 of the Privacy Act 1988 (Cth).
6.3 Early Deletion Requests
A client may request deletion of their data before the applicable retention period has expired by submitting a written request to alana@steadymindslearning.com.au. Steady Minds Learning will respond within 30 days. Steady Minds Learning may decline or defer an early deletion request where:
- retention is required or authorised by law;
- the data is reasonably required to defend or prosecute a legal claim; or
- complete destruction is not technically feasible without disproportionate effort, in which case the data will be de-identified as soon as practicable.
6.4 Third-Party Reports
Where Client Data includes documents created by a third party (including diagnostic, psychological or allied-health reports), Steady Minds Learning's retention obligations apply to the copy of that document held by Steady Minds Learning. Clients remain responsible for managing records held by the originating professionals.
7. Our Main Website, Cookies and Newsletter
Our main website (steadymindslearning.com.au) does not use analytics or advertising cookies, or tracking tools such as Google Analytics or the LinkedIn Insight Tag.
- Hosting. Our website host, Netlify, processes technical information such as your IP address to deliver the site.
- Fonts. The site's fonts are stored on our own website, so loading a page does not contact Google.
- Booking a call. Booking a free call uses a Google Calendar booking page, which collects your name, email address, phone number (so we can call you) and the time you choose.
- Enquiry form. When you send an enquiry, Netlify stores what you enter so we can reply. A copy is emailed to us through our email provider, Brevo. We keep it as set out in section 6.
- Newsletter (optional). The newsletter box on the enquiry form is unticked, and your enquiry is sent whether or not you tick it. If you tick it, we send your email address and first name to our email provider, Brevo, with a record of your consent: the date and time, where you signed up and the wording you agreed to. Brevo then emails you a link to confirm. You are not subscribed until you click it. Every newsletter identifies Steady Minds Learning and includes an unsubscribe link. If you unsubscribe, we keep your email address on a do-not-email list so we don't send you further marketing emails.
- Overseas. Netlify, Google and Brevo may store or process this information outside Australia, including in the United States and Europe.
If we add analytics or advertising tools in future, we will update this policy before we do.
8. Data Security (APP 11)
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. This includes:
- secure storage systems
- password-protected devices and platforms
- restricted access to authorised individuals only
Some personal information is stored or processed using Google Workspace, operated by Google LLC (United States), which may store data outside Australia. You can share documents in either of two ways: upload them to a private Google Drive folder shared only with you, or email them. Emailed documents are saved to your folder and the email is then deleted, including from the trash.
We take reasonable steps to ensure any overseas recipients handle personal information in a manner consistent with the Australian Privacy Principles.
Steady Minds Learning uses Google Workspace, a cloud-based platform operated by Google LLC (United States), to store and process client documents and communications. By engaging our services you provide consent and acknowledge that your personal information (including uploaded documents) may be stored on servers located outside Australia.
Use of AI tools
We may use AI tools to help draft wording for summaries and resources. We never upload original documents. We only use short excerpts with the child's name, school, assessor and other identifying details removed. Removing names does not always make information anonymous, so we also leave out unusual details that could identify a child when combined with other information. We check and edit everything an AI tool produces before it reaches you. AI tool providers may process these excerpts outside Australia.
9. Access, Correction and Complaints (APP 12–13)
You may request access to or correction of personal information we hold about you or your child at any time. Requests must be made in writing to: alana@steadymindslearning.com.au
We will respond within a reasonable timeframe in a manner consistent with applicable privacy laws.
Complaints
If you are concerned about how Steady Minds Learning has handled your personal information, you are encouraged to contact us in the first instance so we can attempt to resolve the matter directly. Please set out the nature of your concern in writing and send it to alana@steadymindslearning.com.au. We will acknowledge your complaint promptly and respond within a reasonable timeframe.
